This notice explains what the ThermoCare website asks for, what happens to it, and what it never does with it. It is written to be read, not skimmed past.
1. Who we are
ThermoCare Wellness Centre is a wellness and therapy centre in Banashankari 3rd Stage, Bengaluru. In this notice, "we", "us" and "ThermoCare" mean ThermoCare Wellness Centre; "you" means anyone visiting this website or contacting the clinic through it.

2. What this notice covers
This notice covers https://thermocarewellnesscentre.com/, the appointment request form on it, and the campaign entry form described in section 4a (currently the "Bring Your Own Container" campaign). It does not cover what happens after you hand information to another company, WhatsApp, your phone network or Google Maps each operate under their own terms, which are set out in section 6.
It also does not cover the paper or clinical records kept at the centre itself. If you would like to know what the clinic holds about you as a client, please call and ask.
3. Information you give us
This website has two forms. The appointment request form asks for:
- Your name (required)
- Your phone number (required)
- The therapy you are interested in, if you have one in mind (optional)
- The concern you would like help with, or “general wellness / not sure” (optional)
- A preferred date (optional)
- A preferred time of day, morning, afternoon, evening or flexible (optional)
- A short message, up to 1,000 characters (optional)
Neither form asks for your date of birth, any identity document, or any payment detail. Each has one hidden field that must stay empty; it exists only to catch automated spam and is never shown to you.
The second form, used for the current campaign, asks for different and additional information. Section 4a describes it separately, because it works differently from the appointment form described in section 4.
4. How the appointment request form actually works
This is the part most privacy notices leave vague, so it is worth stating plainly. The appointment request form does not send anything to a ThermoCare server. This website is otherwise published as static files, with no account system, and this form is the exception described in section 4a below.
When you use the appointment form:
- What you type is checked inside your own browser. Nothing leaves your device at this point.
- Pressing the button assembles your details into a message and opens WhatsApp with that message already written out.
- Opening WhatsApp does not send anything. You can read the message, change it, or close it and nothing is shared.
- Only when you press send in WhatsApp does ThermoCare receive your request.
Until you press send in WhatsApp, ThermoCare has not received your details and has no record that you filled in the appointment form at all.
4a. How the campaign entry form works
The campaign entry form (currently "Bring Your Own Container") works differently from the appointment form above. When you submit it, your name, phone number, email address if given, social media link if given, and the photo or video you upload as proof are sent directly to a ThermoCare server and stored in a database, so that we can contact you about the campaign and arrange for you to collect your thank-you gift.
What happens to a photo you upload:
- It is resized on your own device before it is sent, which also removes any hidden location data (GPS coordinates) your phone may have attached to it.
- It is stored privately. It is not published anywhere unless you separately tick the box agreeing to that.
- Only ThermoCare staff who log in to a password-protected admin screen can view uploaded photos.
A video you upload is handled differently to a photo. It is not resized or stripped of hidden data on your device or ours, it is stored as you sent it. Please avoid including anything in the background of a video (documents, other people, screens) you would not want kept. Like a photo, a video is stored privately and only visible to ThermoCare staff through the password-protected admin screen described above, unless you separately agree to publication.
The campaign form asks for two separate agreements, because they cover different things: one to store your details and contact you, which is required to enter, and one to publish your photo or video on ThermoCare's social media or website, which is optional and does not affect your entry either way.
Campaign entries are kept for as long as the campaign is running and for a reasonable period afterwards to arrange gift collection, then deleted. You can ask us to delete your entry and uploaded proof sooner at any time, see section 9.
5. Health-related information
Information about your physical health is treated as sensitive personal data under the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. We handle it accordingly and keep it to what is needed to respond to you.
Please share only what is needed to arrange a visit. A short line such as “lower back pain for three weeks” is enough. Do not send scans, reports, prescriptions or a full medical history through the website or WhatsApp, bring those with you and discuss them in person, where they can be handled properly.
6. Third parties involved
Using parts of this website hands you over to companies we do not control. Each one applies its own privacy terms to what it receives.
- WhatsApp (Meta), carries and stores your appointment request message once you send it, and shows us your WhatsApp profile name and number.
- Your telephone network, connects the call when you tap a phone number on this site.
- Google Maps, the map on the contact and home pages is an embedded Google frame. Loading it contacts Google's servers and Google may set cookies in your browser. Tapping “directions” opens Google Maps entirely.
- Our web hosting provider, keeps standard server access logs, which typically include IP addresses, as part of running any website.
Fonts on this site are served from our own domain rather than a font network, so simply reading these pages does not make a request to Google Fonts or any similar service.
8. How long information is kept
A request you send through WhatsApp stays in that conversation thread until it is deleted, in the same way as any other message. Notes made at the clinic about your care are kept for as long as needed to look after you properly, and for as long as any legal or professional obligation requires.
You can ask us to delete a message thread or stop contacting you at any time. Where a retention obligation applies, we will say so rather than quietly keep the record.
9. Your rights
Under the Digital Personal Data Protection Act, 2023, you may:
- Ask what personal information we hold about you and why
- Ask us to correct anything inaccurate, incomplete or out of date
- Ask us to erase information we no longer need to keep
- Withdraw your consent to being contacted, at any time and as easily as you gave it
- Nominate someone to exercise these rights on your behalf if you are unable to
- Raise a grievance with us, and escalate to the Data Protection Board of India if you are not satisfied with our response
Call the clinic on the numbers above to exercise any of these. We will respond within a reasonable period and will not charge you for asking.
10. Children
This website is intended for adults. Please do not use the request form on behalf of anyone under 18 unless you are their parent or legal guardian. Therapy for a young person is arranged with a parent or guardian present.
11. Keeping information safe
This website is served over an encrypted connection. Because it stores nothing, the largest part of keeping your information safe sits with the messaging service you choose to use and with the ordinary care taken over records at the clinic. No method of transmission over the internet is completely secure, and we cannot guarantee the security of information while it is in transit to us.
12. Urgent and sensitive matters
Do not use this form or WhatsApp for a medical emergency. Messages are not monitored around the clock. In an emergency in India, call 112, or 108 for an ambulance, or go to your nearest hospital.
13. Changes to this notice
We will update this notice when the way we handle information changes, for example if a new campaign form is added or an existing one changes what it collects. The date at the top of this page always shows when it was last revised. Please check it from time to time.
